Responsibility
- Manage multi-line phone system with 50+ calls daily, transferring to 15+ departments
- Coordinate VIP client arrivals including transportation and meeting room preparation
- Process incoming/outgoing mail, packages, and deliveries with tracking systems
- Oversee conference room scheduling for 8+ meeting spaces using Outlook integration
- Maintain reception area with premium amenities and seasonal dΓ©cor updates
- Support HR functions onboarding new hires with badge systems and equipment setup
- Assist with administrative projects including document formatting and data entry
Qualification
- Associate's degree or 3+ years in corporate reception/administrative roles
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Exceptional verbal/written communication with multi-lingual capabilities preferred
- Experience with concierge-level guest services in luxury/hospitality settings
- Proven ability to manage competing priorities with discretion and composure
- Knowledge of office management protocols including safety compliance
- Proficient with AV equipment troubleshooting (Zoom, projectors, video conferencing)
