Crestview Advisors is seeking a charismatic and impeccably organized Executive Receptionist to join our prestigious midtown Manhattan office. As the first point of contact, you will deliver a world-class experience for clients, partners, and executives.
This position is critical to the seamless daily operation of our firm. You will manage a dynamic front desk, coordinate complex meeting schedules, and provide high-level administrative support. The ideal candidate possesses a sophisticated demeanor, exceptional communication skills, and a passion for excellence.
Responsibility
- Welcome and register guests, issuing visitor badges and notifying appropriate team members of their arrival with professional warmth.
- Manage a multi-line phone system, screening and directing calls, voicemails, and general inquiries with efficiency and discretion.
- Coordinate executive conference room calendars, prepare meeting spaces with precision, and arrange catering and AV setup for internal and external meetings.
- Process all incoming and outgoing mail, packages, and courier deliveries. Maintain accurate logs and distribute items promptly.
- Uphold the immaculate appearance of the reception area, conference rooms, and common spaces, ensuring supplies are fully stocked.
- Provide comprehensive administrative support including document preparation, travel bookings, expense reporting, and event coordination.
- Assist with office security protocols, maintaining the visitor log and ensuring compliance with building access procedures.
Qualification
- High school diploma required; Associate’s or Bachelor’s degree in a relevant field highly preferred.
- Minimum of 2 years of experience in a corporate receptionist, front desk, or executive administrative role within a professional services environment.
- Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) and scheduling software.
- Exceptional verbal and written communication skills with a polished, professional phone presence.
- Strong organizational skills and the ability to multitask effectively in a fast-paced, high-pressure setting.
