Responsibility
- Manage complex calendaring and schedule high-level meetings, coordinating extensive domestic and international travel logistics.
- Serve as the primary gatekeeper, professionally screening calls, visitors, and correspondence.
- Prepare, proofread, and edit confidential documents, board presentations, and high-stakes reports.
- Process expense reports, track budgets, and manage invoices with meticulous accuracy.
- Architect and maintain sophisticated digital and physical filing systems.
- Orchestrate board meetings, retreats, and corporate events from conception to flawless execution.
- Conduct strategic research and compile actionable data for key executive initiatives.
- Proactively identify operational inefficiencies and implement streamlined administrative workflows.
Qualification
- Minimum 3+ years of proven experience as an Executive Secretary, Executive Assistant, or Senior Administrative Assistant in a high-growth corporate environment.
- Expert-level command of the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Impeccable verbal and written communication skills with a naturally professional and warm demeanor.
- Unwavering commitment to discretion and handling highly sensitive information.
- Bachelor's Degree in Business Administration, Communications, or a related field strongly preferred.
- A "hunter" mentality for organizationâyou spot chaos from a mile away and eliminate it.
- Superior problem-solving capabilities and the ability to make intelligent decisions under pressure.
- Flexibility to work core office hours in Midtown Manhattan with occasional extended support as needed.
