Key Highlights:
- Support the C-suite with complex calendar management and meeting coordination.
- Prepare high-level reports, presentations, and correspondence.
- Act as the primary point of contact for internal and external stakeholders.
- Coordinate domestic and international travel arrangements, including itineraries and visas.
- Manage confidential information and sensitive projects with the utmost discretion.
- Oversee office operations and vendor relationships to ensure seamless business continuity.
- Assist with ad-hoc projects and special events as required.
Responsibility
- Manage complex executive calendars, scheduling meetings, and resolving scheduling conflicts.
- Prepare, proofread, and distribute minutes, memos, and formal correspondence.
- Coordinate travel itineraries, booking flights, hotels, and ground transportation.
- Filter and prioritize incoming communications, including emails and phone calls.
- Organize and maintain confidential files and records.
- Liaise with department heads and external partners to ensure smooth communication.
- Assist in the planning and execution of corporate events and board meetings.
Qualification
- Proven experience as an Executive Secretary, Personal Assistant, or Administrator (minimum 3-5 years).
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software.
- Excellent written and verbal communication skills in English.
- Demonstrated ability to manage multiple priorities in a high-pressure environment.
- High level of integrity and confidentiality.
- Professional demeanor and appearance.
- Relevant degree or certification in Business Administration or Secretarial Studies.
